MEETING MINUTES

AGENDA:

 

OLD BUSINESS:

- Chamber of Commerce held their monthly meeting on Wednesday.  Lorraine, Wayne & Tom attended.  Lorraine informed the Chamber about the Preservation Committees goals and strategies.  The Chamber was very supportive of the project.

 

- Mr. Woelcke from VIA Rail Canada has sent a letter concerning the station.  Timeline for having the building moved is Oct. 31, 2003.  Dale suggested finding out if VIA would donate some money to the cost of moving the station.  An Agreement to Purchase the building from VIA Rail Canada should be drawn up to include timelines and land location.  Agreement to purchase should include ownership transfer when building is moved.

 

- Letter from Community Lottery Board has not arrived.

 

- The $360.00 from the Square Foot funding will be transferred from the Hinton Historical Society once this Society is registered.

 

 

NEW BUSINESS:

- The Chamber of Commerce president contacted Lorraine that the committee may continue using the Meeting room at the Chamber Building free of charge.  We may use this room twice a week if need be as well as the address for the Society until we have established the site of the station house.  The committee was very thank full to the Chamber for this.

 

- A discussion about forming a Board of Directors for the society requires a minimum of five people.  The committee choice the following members for the Board of Directors, which included Lorraine Johnson-MacKay, Wayne Sitar, Tom Mulvihill, David Elifton, Glen Maglis & Roger Schneider.

Any four members are required for a quorum. 

The liabilities were talked about – WCB does provide coverage for Societies.  Insurance on building once the building is purchased from VIA Rail Canada.

Rules of a Society were reviewed as well as names for the Society.  Names that where discussed;

            1 - Hinton Train Station Preservation Society

            2 – Grand Trunk Pacific Preservation Society

            3 – Hinton Station Preservation Society

            4 – Grand Trunk Pacific Railway Station Preservation Society

            5 – Hinton Grand Trunk Pacific Railway Station Preservation Society

#5 was chosen as the Society name.  This will be send in with the NUANS report.  The “Goals and Strategies” of the committee will be sent in with the application.

 

- A fee for membership to the Society was discussed.  Tom suggested a fee of $15.00 / year.  The committee all agreed on this amount.  Membership fees will be collected and fees and expenses will be recorded until the committee is registered as a Society, at which time a bank account will be set up.

 

Rick & Dale suggested a corporate fee also be set up of $100.00.  This would provide advertising for the corporations as well on pamphlets.

 

Review of the sites was discussed.  Dale to check on information on these sites and forward this information to Roger for the next meeting.

  1. East of Hinton Chrysler.  This lot is the groups first choice.  Great view of mountains, across the highway from the original location, town land, historical integrity, highway visibility, services, parking, connected to the town trail system and partnership with the Environment Training Center.  Disadvantages – gas line runs through property and will take some planning to move building into site. 
  2. West of Woodley drive.  Site has services to property line, lots of parking and lot is flat.
  3. Between the Highway and the CN tracks east of the underpass.  This site has a great view of the mountains, highway visibility, town land, not all services are available to the property, would have to partnership with other groups.
  4. Interpretive Park.  No historical integrity, no highway visibility, would have to partnership with other groups.
